PRIVACY POLICY
STATEMENT

Trinity Uniting Church ,
Dandenong
acknowledges and
respects the privacy of individuals. We support and endorse the National
Privacy Principles contained in the Privacy Amendment (Private Sector)
Act 2000 and will comply with these principles whenever personal
information as defined in the Act is collected by us.
In accordance with the National
Privacy Principles
1. We will only collect personal information from you with your prior
knowledge and consent.
(This information is, or has been, provided by you
for this purpose when you requested to be affiliated with Trinity and
therefore be under our pastoral oversight with your name on our.pastoral
roll.)
2. We will only use personal
information provided by you for the purposes for which it was collected,
i.e. for the purposes of pastoral care and contact among members.
(The information kept is your: name, address,
phone number and whether this is to be published or not, your birthdate
if that has been supplied, date of baptism if known, when you were added
to the roll if this date is known, your Elder, your occupation if
supplied, marital status if supplied, gender, whether you are the head
of your house or a dependent, marital status if supplied, what groups
you belong to, what gifts and abilities you have indicated to us during
a Stewardship program)
3. We will not disclose your
personal information to a third party, that is, any business,
organization or person not related to this Church, or any person who may
wish to use your details for non-Church related matters without your
consent.
4. We will not disclose your
personal information to other institutions and authorities except if
required by law or other regulation, unless requested or approved by
you.
5. We will remove personal
information from our records when it is no longer required
-
Personal information will
be deemed to be no longer required when:
-
i. a member formally
requests to be removed from the membership rolls, or
-
ii. a member is
transferred to another congregation, or
-
iii a member dies.

Personal information will
be deleted in full from our computer system and back-up files.
Each year a hard copy containing people’s
name, address and phone number are distributed to all Church
Council members and Elders for visitation purposes and on the
publication of a new edition, the previous edition is requested
to be collected and destroyed.
Each year a copy of the
Church Membership Roll is retained by the Church for archiving.
Only the names, addresses and phone
numbers of members are retained on this record—all other
personal details will be deleted from the document.
The public may have access
to some archival information on request and on the payment of a
small handling charge.
6. We have processes and policies
to protect the personal information that we have under our control from:
- unauthorised access
- improper use
- alteration
- unlawful or accidental destruction and accidental loss
Information that has
been collected is stored on computer in the Church Membership
Directory which is only located only with the Minister. Stewardship
details are only known only to two people: the Stewardship Convenor
and the Recorder.
